PheedLoop Inc. ("PheedLoop", "we", "us") provides event management software used by event organizers to run registration, websites, mobile apps, check-in and virtual events. This policy explains what personal information we collect, how we use it and the choices you have.
When we decide how information is used. This covers our own website, sales and marketing, and the accounts organizers use to run events on PheedLoop. Here PheedLoop is responsible for your information, and this policy applies in full.
When we process information for an event organizer. If you register for, attend or take part in an event that runs on PheedLoop, the organizer decides what information is collected and how it is used. We process it on the organizer's behalf and under our contract with them. The organizer's privacy policy applies, and requests about that information should go to the organizer. If you contact us, we will pass your request to them.
Contact and account details: name, email, phone, organization, job title, and login credentials for organizer accounts. Passwords are stored only in salted, hashed form.
Communications: messages you send to our sales or support teams.
Device and usage information: IP address, browser and device type, pages visited and actions taken in our website and dashboard, collected through cookies and similar technologies. See our Cookie Policy.
Information from other sources: business contact details from events we attend, partners, and public professional sources such as LinkedIn.
We do not collect or store payment card numbers. Card payments are entered directly into fields provided by the payment processor and we receive only a transaction reference.
We do not sell personal information. We share it only with:
Service providers that help us run the platform and our business, under written data protection terms. Providers that process event data for organizers are listed at pheedloop.com/more/pheedloop-sub-processors.
Authorities where required by law, after notifying the affected organizer where we are allowed to.
A buyer or successor if PheedLoop is involved in a merger, acquisition or sale of assets, subject to this policy.
Anyone else with your consent.
PheedLoop is based in Canada. Platform data is stored with Amazon Web Services in Canada (Central). Some service providers, mostly for analytics, support and error monitoring, are in the United States. Where information moves outside your jurisdiction, we use contractual and legal safeguards that provide comparable protection.
Organizer account and event data: for as long as the account is active, then deleted 12 months after the account ends, or within 14 days of an organizer's request.
Sales and marketing contacts: until you unsubscribe or ask us to delete them, or after 24 months without engagement.
Records we must keep by law, such as invoices: as long as the law requires.
We protect information with encryption in transit and at rest, access controls, multi-factor authentication for staff, and monitoring. Our security practices are described in the PheedLoop Security Overview, available on request.
Depending on where you live, you may have the right to access, correct or delete your personal information, withdraw consent, object to or restrict certain processing, receive your data in a portable format, and not be discriminated against for exercising these rights. This includes rights under Canada's PIPEDA, Québec's Law 25, the EU and UK GDPR, and US state privacy laws such as California's.
To make a request, email privacy@pheedloop.com. We will verify your identity and respond within 30 days. For event data, we will refer your request to the organizer.
You may also make a request through an authorized agent, such as a data removal service. We will ask you to confirm the request from the email address we have on file, and may ask the agent for your signed authorization.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec, or your local data protection authority.
Our services are designed for adults and we do not knowingly collect information from children for our own purposes. Organizers running events for minors are responsible for obtaining any required parental consent.
We will post any changes here and update the date above. For material changes, we will notify organizers by email.
